What is CoPilot?

  • The SamaCare CoPilot is an extension crafted to streamline the process of adding your Prior Authorization information to SamaCare, all in one place. This versatile tool can be utilized on any insurance payer portal, enabling you to effortlessly update or create portal authorizations. CoPilot is designed to integrate seamlessly into your daily workflow, assisting users with tasks such as filling out Prior Authorizations, saving them to SamaCare, and tracking them to a determination. With CoPilot, you have the capability to manually save your prior authorization to SamaCare and/or update a previously submitted prior authorization.

CoPilot Installation Guide!

  • For the best experience with our platform, we recommend using the Chrome browser. If you're not currently using Chrome, here’s a simple guide to download and install it at your convenience. This will ensure you have full access to all of SamaCare's features.
  • For your convenience, you can install the SamaCare CoPilot extension directly from this link. By installing the CoPilot extension, you'll gain access to a suite of features that will streamline your processes and enhance your productivity.
  • Once the CoPilot extension is successfully installed, follow these steps to ensure it is easily accessible:
    • Navigate to the top right corner of your browser and click on the puzzle piece icon, which represents your extensions.
    • In the drop-down menu that appears, locate the CoPilot extension.
    • Click the pin icon next to CoPilot to add it to your toolbar.

        By pinning CoPilot to your toolbar, you'll have quick and easy access to its features, allowing you to seamlessly integrate it into your daily workflow.

Let's Get Logged In!

  • This step is crucial as it ensures that all the features of the CoPilot extension are fully functional and integrated with your SamaCare account. Logging in allows you to seamlessly manage your prior authorization requests and other tasks within the platform. If you are not logged in, the CoPilot extension will direct you to the SamaCare web app to login. This step is essential to synchronize your data and utilize all the features CoPilot has to offer.

  • When you're ready to initiate or manage your prior authorization request, simply navigate to the payer portal of your choice. From there, you can effortlessly submit your prior authorization request directly within the portal or review the status of any pending requests.

Launch CoPilot!

  • Once your prior authorization is submitted or in progress, you can easily access the CoPilot extension by clicking on the SamaCare icon located on your toolbar, typically found in the top right corner of your screen. In addition to the SamaCare icon in your toolbar, you can also launch CoPilot through our convenient widget. This widget is designed to be readily accessible on most insurance payer portals.However, if you don't see the widget on a specific portal yet, there's no need to worry! Once you submit your first prior authorization through that portal, the CoPilot widget will become available for future use. This ensures you can always enjoy the benefits of CoPilot, regardless of the portal you're using.
  • When CoPilot launches, select "Save To SamaCare" 
  • Fill in the required information and select "Save". This action will successfully add or update your prior authorization request within SamaCare.
    • Select PatientTo get started, simply begin typing the patient's name in the designated field. If the patient already exists in our system, their information will conveniently populate for you. For new patients, you'll have the option to quickly enter their details manually.
    • New or Existing AuthorizationChoose "New Authorization" for a new request. To update an existing request, simply find your request in the provided list. 
    • Select PayorStart typing the name of the insurance payer in the designated field. Our system will do its best to find a match and populate the information for you. If the specific payer doesn't automatically appear, you can easily enter it manually.
    • HCPCS CodeStart typing the name of the Drug or J-Code in the designated field. Our system will do its best to find a match and populate the information for you. If the specific drug doesn't automatically appear, you can easily enter it manually.
    • Select StatusChoose the option that best reflects the current stage of your request, such as "Approved," "Pending," or "Denied." This allows you to easily monitor progress and keep track of next steps.
    • Auth Reference ID - In order to help you keep track of your prior authorization request in SamaCare, include the reference number from the portal.

Head Back To SamaCare! 

  • Once your prior authorization is saved, you will receive a notification confirming its successful saving, along with a convenient link to view it directly within SamaCare. This ensures that you can easily access and review the details of your authorization request whenever needed.

Get Familiar With The Notifications!

  • Reminder

    When accessing a recognized portal, we provide a notification prompting you to save your prior authorization in SamaCare using CoPilot. Please note that this feature is currently not available on all web portals. This reminder aims to ensure that your authorization requests are efficiently recorded within SamaCare, enhancing your workflow and organization.

  • Screen Capture in Progress

    When you select "Add screenshot when saving" while saving or updating a prior authorization, a notification will appear indicating that the screenshot process is in progress. During this time, please avoid scrolling or navigating to a different tab to ensure the screenshot is captured accurately. This helps to ensure that all necessary information is properly documented within SamaCare.

  • Auth Updated Successfully

    After successfully updating a prior authorization request using the CoPilot extension, you will see a success notification containing a link to view your prior authorization request in SamaCare. This ensures easy access to review and manage your updated request.

  • Auth Saved Successfully

    Upon successfully saving a prior authorization request using the CoPilot extension, a success notification will appear, including a link to view your prior authorization request in SamaCare. This feature ensures that you can easily access and manage your saved request.
