How to Set Up Multi-Factor Authentication (MFA)

Overview

Starting November 18, 2025, we’ll begin rolling out Multi-Factor Authentication (MFA) across SamaCare. The rollout will kick off on this date and continue gradually, activating MFA for a group of practices every few days. MFA will be turned on for all SamaCare accounts unless your institution has previously requested an exception.


Once enabled for your institution, MFA will apply to all users within your organization (individual users cannot opt out).


This guide walks you through how to set up MFA and what to do if you need any support along the way.


Step 1: Set Up Your Authenticator App 

  • When MFA is enabled, the next time you log in you’ll be prompted to set up an authenticator app.
  • Helpful Information:  
    •  You can use any authenticator app of your choice (e.g., Google Authenticator, Microsoft Authenticator, Authy, 1Password).

Step 2: Scan the QR Code 

  • Your screen will display a QR code to connect your account with your authenticator app.
  • Helpful Information:   
    • Open your authenticator app. 
    • Use the camera to scan the QR code displayed on your login screen. 
    • IMPORTANT: Only scan the QR code provided coinciding with your own login. Please do not scan other users QR code. Each QR Code provided for set up corresponds directly to your own account



Step 3: Enter the Verification Code 

  • After scanning, your authenticator app will generate a 6-digit code. Enter this code on the SamaCare login screen.
  • Helpful Information:  
    •  Codes refresh every 30 seconds.  
    •  If a code fails, wait for the next one and try again

Step 4: Using 1Password (Optional) 

  • If you use 1Password, you can store your MFA code directly in the app by scanning the QR code.

    Helpful Information:

    •  This lets you access your codes from 1Password without needing a separate authenticator app.
